QuickSend: The Quickest Way to Receive Client Files Securely

When someone needs to quickly send you a few files, how do they do it?

Email isn’t a solution both because of file size and security.

The secure Client Portal is what your clients normally use, but it’s not a perfect solution, either. The Client Portal is extremely secure – but it requires your clients to log in and go through a few screens. It also requires you to set up an account for your client and train him in how to use the system.

This eats up time for you and your client. And it’s unnecessary.

Here’s how it works…

How QuickSend Works

Add the page titled “QuickSend Page” to a good place on your website such as under the Resources section. When you need a file from a client, tell them where that page is located or send them a link to it via email.

Once on the page, the client:

  1. 1. fills in the form,
  2. 2. chooses the firm member to send the file to,
  3. 3. browses their computer to find the file to attach, and
  4. 4. clicks send.

The client has the choice of sending one or multiple files.

Quickly Receive Sensitive Documents

No Account Setup. QuickSend doesn’t require an account, which makes things easier for you and your client.

For you, there’s no back-end work setting up an account with a username and password. You also don’t need to train your client in how to use the software.

For your client, they just fill out a short form and hit send. There’s no need to remember a username and password and learn how to navigate the system.

QuickSend Is Secure. Files sent by QuickSend are stored in the Client Portal and protected by the Portal’s 14 layers of security. All the files sent are stored in a “dropbox” folder in the selected firm member’s “My Documents” folder. The file is only accessed by the firm member and is extremely secure.

    I just setup the Quicksend page and tested it.
    1) Sending multiple files, I would choose a file and then click add another and it would open a second item to the list but delete the first listing
    2) Once uploaded the file name included the entire link name
    x:\files\test.doc
    In order to delete the uploaded file I needed to rename it before deleting.
    3) Can it be setup to send a notification by email to the receipient…
    This will be a great tool, Hope you can correct these three things.

      @Quin. There is an email notification that gets sent to the recipient. I went to your website and didn’t experience the same problem with the file being deleted when adding a second. I also didn’t experience any problem deleting a file. Please try again or call us at 800-896-4500 so we can troubleshoot. Thanks Quin!

    I just added the Quicksend page, put do not see how to add names to the drop down menu for sending the files to. How do I do that?

      The drop down menu pulls all of the names of the firm users. So if you have a person in your firm you want to add, you need to create a firm user account for them.     I don’t seem to have the Quicksend page available in add page.

      Hi Rob,

      The reason the QuickSend page isn’t available in your Add Page section is because you’re on our oldest server so that feature isn’t available. But what we can do is migrate your site over to our new server, and then you’d have that page (as well as some additional features) available to you. There’s no charge for migrating the site. We’d basically be making a copy of your site and moving it to our new server. Your current site would remain active and functioning but you wouldn’t be able to make changes to it until we switched it over to the migrated version.

      Let me know if you want to do this, and if you have additional questions. It takes about a day to migrate the site, and then once you give us the go-ahead we can make the change so that it becomes your live site instead of your current one.

  5. I know that you say email is not secure, but the chances of your competitors setting up an intercept for your email are so small that it’s kind of silly, especially if you use a reputable mail client (even gmail works) and a browser with encryption.

    Do you have a department set up to hack into competitors accounts and catch their emails? Do you know anyone who has this kind of complex technical scheme going on? I thought not.

    File size could be an issue, I guess.

      Our primary goal is to make it as easy as possible for accountants and tax professionals to protect their clients. We’re not overly concerned with an accountant’s competitor intercepting e-mails; we’re much more concerned with people who would use sensitive information (social security numbers, account numbers, etc.) for nefarious means — of which there’s been no shortage lately, judging by the disturbingly large (and growing) number of people out there whose machines have been compromised for just such purposes.

      Granted, the likelihood of someone intercepting a file, knowing what it is, and having the ability to use it is somewhat small. But the potential exists and it has happened to many people out there.

      One area of focus in the design of our FileVault is in maintaining compliance with ever-changing state and federal regulations that dictate when and how sensitive data must be encrypted. For example, see the Safeguards Rule of the Gramm-Leach-Bliley Act of 1999 http://en.wikipedia.org/wiki/Gramm%E2%80%93Leach%E2%80%93Bliley_Act#Safeguards_Rule. Compliance in this act is mandatory; whether a financial institution transmits sensitive data or not, there must be safeguards in place to protect the data from any foreseeable threats.

      So, regulation and feasibility aside, the question remains: Why make it easier than it needs to be to compromise sensitive data? If you’re sending files via e-mail, they can be cracked, even if you’re password protecting the file.

      A large portion of firms out there have been using passwords such as their clients’ social security numbers, zip codes, or a combination of the two. A simple script can “brute-force” the password in a matter of minutes in the case of a 9 digit number such as a social security number. It’s a matter of seconds for smaller passwords such as zip codes.

      Actually that’s a very astute observation. When we first started offering secure file transfer, file sizes were the primary problem we were trying to solve. Back then QuickBoooks files were massive self-contained monsters, not the small .qbb backup files we transfer today. This has changed. Email caps have gotten bigger and the data files have gotten smaller.

      Now the main issue is security.

      Client data needn’t be intercepted by a competitor to be compromised. All manner of hackers, identity thieves, con men, even blackmailers are out there setting up “man in the middle” email attacks. All of them would love to get their hands on your clients’ personal information. It really is a bad idea to email personal information. The odds of an incident are indeed exceedingly slight, but if something does go wrong the results can be catastrophic.

    I like this idea and just added it to my website but when I tried to test it out it does not include a box to enter who the message goes to, how do I get that entered?

      Unfortunately Quicksend isn’t really intended for firm users. It’s really meant to be a quick and easy transfer solution for your clients. Firm users will need to continue to log into the portal in order to manage client user accounts.

      We recently changed the name of the page to SecureSend. So if you check in the Add Page section of the site manager, you should see it listed there as SecureSend. All functionality is the same, we just changed the name. (You can change it back to Quicksend if you prefer, or to any other name you’d like).

    We’re experiencing a significant delay between the time someone uploads a file and the time we and that person get an email confirmation. One time it took over an hour. Most recently it’s taken a half-hour and counting. Is this normal?
